- Processing of late fees, late letters, and collection processing with attorney
- Preferred banking services, including dedicated banker, direct integration to management software for ongoing accuracy, no-fee lockbox services, and easy signature card updates
- Annual operating budget preparation & guidance
Compliance & Oversight
- A manager assigned to work with the community licensed through the State of Florida with an active LCAM (Licensed Community Association Manager) license
- Acting as liaison for all community communication
- Work directly with vendors to ensure service is provided in compliance with their agreement, and receiving/paying their invoices in a timely manner
- Efficiently process payables daily through online Accounts Payable system. Provides Board access to online approvals, historical invoices, review of assigned GL code for review or change, notes, and other handling to ensure timely and accurate vendor payments and AP processing
Property & Vendor Management
- Work order dispatch and processing
- Work directly with vendors to ensure service quality and contract compliance
- Direction and management of on-site maintenance personnel
- On-site management availability as required
- Vendor selection assistance, including competitive bidding processes
- Vendor screening and recommendation of accounting and law firms as needed
- Dispatching on-call vendors for urgent repairs (e.g., pool cleaning, gate repair)
Homeowner & Board Support
- Homeowner access to report complaints, request repairs, and obtain information online
- Board package preparation and mailing (property manager’s report, general ledger, aged owner balances, etc.)
- Assistance, recommendations, and ongoing support to the Directors
- Mass mailing preparation as directed by the Board
- Obtain competitive bids and oversee bidding for special projects
